You pick the stage you want to work on, hit “Start Sprint”, and the app serves the most relevant lead. As soon as you update the outcome, the next lead is ready. No guesswork, no hunting.

🚀 Set up once, then start your day from the app

  • Install & login: Download the APK → allow “Install from Unknown Sources” → open the app → tap the Supabase magic link emailed to your phone.
  • Give permissions: Allow notifications, storage (for ER CVs) and, on Android, call-log access (needed for sync checks).
  • Keep it awake: Exclude the app from battery optimisation so notifications and sprints stay instant.
  • Version check: The dashboard footer shows your installed version. If that indicator disappears or looks outdated, reinstall from the link above.
  • First sync: When you launch the app, wait until the performance tiles load. That means your data is ready.

🕙 Daily schedule (10:30–19:30) and where to spend time

Your shift starts at 10:30 AM. Break your day into short sprints but keep the total time split roughly 3 : 2 : 1 across the funnels:

  • ≈3 hours on Smart All Leads Sprint: Run multiple 45-minute sprints (e.g. four 45‑min sprints) to pitch, qualify and push for ER forms. The automated calling feature saves massive time on not-connected calls, allowing you to focus on connected calls and ER completion. Each 45-minute sprint should yield 1-2 ER forms easily. This feeds the rest of the funnel.
  • ≈2 hours on Get Meetings (or Unified All Leads Sprint): Spread across two or three sprints to move ER-completed leads into meetings and secure manager approvals. Unified Sprint is a good substitute when you want one queue that mixes ER, Meeting, and Enrollment work.
  • ≈1 hour on Get Enrollments: Use one or two short bursts to chase payment links, collect dues and close enrollments.

You can reorder the sprints to suit your day, but keep the 3 : 2 : 1 ratio so each funnel stays healthy. Always start the sprint inside the app—don’t work elsewhere and “update later”.

🚀 Unified All Leads Sprint — the default sprint you'll use every day

📌 Use Unified Sprint by default.

It's the single queue that mixes ER, Meeting, and Enrollment leads in priority order. You don't need to think about which bucket to work — the app picks the right action for each lead as it arrives. Unless your manager has told you otherwise, this is your sprint.

🎯 The two automated sprint cards on the dashboard

  • 📋 Unified All Leads Sprint (default) — single priority queue interleaving ER, Meeting, and Enrollment leads. The lead card shows the lead and the app figures out whether you should fill ER, book a meeting, or send a payment link. Most of your day will be spent here.
  • ⚡ Smart All Leads Sprint — narrower variant focused on ER pitching and high-volume outbound. Use this only when you need a pure ER push (e.g. start of the day to clear new leads). The flow is otherwise identical.

Both sprints replace manual dialing and status hopping. The flow below applies to both — the only difference is the kind of work the next lead asks for.

📱 How to Start & Work a Sprint

  1. Start from Dashboard: Tap the "Unified All Leads Sprint" card (or "Smart All Leads Sprint" if you're doing a pure ER push). The sprint starts immediately — no need to go to a list screen first.
  2. First Lead Appears: The app shows the first lead with all details (name, email, phone, status). You have 500ms to review.
  3. Countdown & Auto-Call: A 3-second countdown (3, 2, 1) appears, then the call initiates automatically. No manual dialing needed!
  4. Call Detection: The app uses advanced TelephonyStateListener technology to detect call status in real-time.

📞 For NOT-CONNECTED Calls (Busy, Rejected, No Answer, Switched Off)

  • Automatic Update: The app automatically updates the lead status as "not connected" with the appropriate outcome
  • Toast Notification: You'll see a brief message: "✓ [Lead Name] updated: [Reason] → Moving to next lead..."
  • Auto-Advance: After 1 second, the next lead is fetched automatically
  • Time Saved: No manual status update needed—saves 5-10 seconds per not-connected call!

✅ For CONNECTED Calls

  • 📋 Update Drawer Opens: The "Update Lead" drawer opens automatically with "Connected" status pre-selected

⏱️ Recommended Sprint Duration & Results

  • 🎯 Work for 45 minutes per sprint session (Smart or Unified).
  • 📊 Expected Result: 1–2 ER forms completed in a Smart sprint, or 1 ER + 1 meeting booking in a Unified sprint of the same length.
  • 🛑 End Sprint: Tap the red End Sprint button in the sprint header when you're done or need a break.
  • 🔄 Multiple Sprints: Run multiple 45-minute sprints throughout the day (recommended: ~3 hours total = 4 sprints).

⚡ Time Savings Breakdown

On average, 60–70% of calls are not connected. With the automated sprints:

  • Old Way: Manual dial → Wait → Check status → Update manually → Next lead = ~15–20 seconds per not-connected call
  • Smart / Unified Sprint: Auto-dial → Auto-detect → Auto-update → Next lead = ~2–3 seconds per not-connected call
  • Time Saved: ~12–17 seconds per not-connected call × 30–40 not-connected calls per 45-min sprint = 6–11 minutes saved per sprint!

🔁 Sprint loop (Get Meetings / Get Enrollments)

  1. Pick a bucket: Open `Get Meetings` or `Get Enrollments` from the dashboard cards. The list screen loads immediately and always shows search, filters, and FAB while leads stream in.
  2. Start sprint: Tap the floating "Start Sprint" button. The app calls the relevant start*Sprint() service, grabs your next eligible lead (assigned first, then new) and navigates to the Sprint screen.
  3. Sprint screen header: Shows sprint type and an "End Sprint" button. Back press is disabled until you explicitly end the sprint (prevents accidental exits).
  4. Run actions from Lead Details: Use the fixed action bar to call, send templates, log ER, book meetings, or raise payment links without leaving the screen.
  5. Advance: Submitting the "Update Lead" drawer triggers onNextLead()—the app immediately fetches and renders the next sprint lead. If the pool is empty, you'll see a "Sprint Complete" alert and return to the list screen.
Note: Sprint APIs always double-check live lead assignment before returning a lead. If you ever receive the same lead twice in a row, grab the timestamps and report it immediately so backend can review the materialised view refresh.

🧭 Lead Details screen

Layout

  • Top card: Lead and manager statuses (coloured chips), name, email, full phone (with country code), campaign, pathway.
  • Status & Details: Most recent call outcome, notes, follow-up commitment, total attempts—all fetched via getLeadDetails(), cached after first load.
  • Latest meeting/enrollment/ER/payment sections: Present only if data exists; each section collapses automatically when empty.

Action bar (always visible)

  • Call: Opens the native dialer (tel: link). Use immediately before logging the outcome.
  • Update Lead: Opens the Update Call drawer. “Callback/FWP” outcomes require date, time, and notes; other outcomes only need the result.
  • Email / WhatsApp: Lazy load templates on first tap. Preview and send (WhatsApp opens whatsapp://; email opens mailto:).
  • ER / Meeting / Pay Link: Covered in detail below. Buttons enable regardless of sprint; eligibility is enforced in the drawer logic.

🗂️ Drawers & modals you’ll use

Update Call Drawer

  • Outcomes match the backend constraint exactly (e.g., FWP-Hot → stored as fwp_hot).
  • Follow-up results automatically add “:00” seconds so Supabase accepts the payload.
  • Submitting closes the drawer, refreshes the lead, and (inside a sprint) pulls the next lead. Outside a sprint you’ll see a success alert.

Template Modals

  • WhatsApp & Email templates fetch once per session and cache (see whatsappTemplatesRef/emailTemplatesRef).
  • Preview shows resolved variables; sending hands off to the native app. No in-app delivery is attempted.
  • Use “Direct message” in WhatsApp modal when you need a blank compose window.

ER Drawer

  • Pathway must be chosen manually (no defaults). Options combine cached API data with fallbacks.
  • Country and language pickers show suggestions only after you type—keeps the list manageable.
  • CV picker enforces 50 MB limit; successful submission resets the form and closes the drawer.

Meeting Drawer

  • Before the drawer opens the app re-fetches lead details and blocks if ER isn’t completed or manager approval is missing.
  • Consultant availability is filtered server-side; slots render as buttons and highlight only when selected.
  • Booking triggers a confirmation alert and collapses the drawer. Use manual refresh to pull the new meeting record.

Payment Link Drawer

  • Takes pathway + amount → calculates GST + total automatically.
  • Copy uses @react-native-clipboard/clipboard; if clipboard is unavailable a fallback alert displays the link.
  • Successful creation shows the generated link and payment ID inside the drawer and appends them to the payment section.

🔔 Notifications & Call-Me-Now handling

Types you’ll receive

  • Call Me Now: Sole action is “View Lead”. Events stay “in progress” on the server until you log a call update—opening the lead alone does not clear them.
  • Meeting reminders: Generated from the dashboard meetings data; tap to jump straight into the corresponding lead.
  • Sync/system alerts: Token refresh or version mismatch prompts.

Operating rules

  • Foreground notifications call refreshPendingEvents(true), so you do not need to manually hard-refresh each time.
  • The notification list caches for 15 seconds. Pull-to-refresh is available but should be used only when you expect new events.
  • If a Call Me Now disappears without an update, check the backend event table immediately—this indicates someone performed an unsupported manual action.

1Microsoft OAuth WebView: The login form is your normal LMS web login rendered in a WebView. Use the same credentials as lms.primepathway.in.
2Magic link (recommended for first login): Tap the Supabase magic link emailed to your phone — it signs you in and generates a mobile token automatically.
3Loading / Authenticating overlays: A spinner appears while the token is generated and stored in AsyncStorage. Don't kill the app during this step.

33-second countdown + auto-dial: The app dials the phone for you. You don't need to tap Call. A snackbar appears if auto-dial fails so you can dial manually.

1Pre-check: Before the drawer opens, the app re-fetches lead details and blocks if ER isn't completed or manager approval is missing. You'll see an inline message instead of step 1.
2Step 1 — Meeting Details: Pathway, Meeting Date, Start Time, End Time. The end time bounds the search window.
3Step 2 — Consultant & Slot (shown): Server returns consultants with their free 45-min slots inside your window. Tap a chip to select; selected slots turn solid blue + ✓.
4Step 3 — Confirm & Book: Summary card (consultant + date + slot + pathway). Tap Confirm & Book → confirmation alert, drawer closes, meeting appears in Meetings.

📞 Call Logs — the device call log filtered for LMS leads. Filter chip (All / Incoming / Outgoing / Missed). Each row shows direction icon (📞 incoming / 📤 outgoing / 📵 missed), phone, lead name, timestamp, duration, and a "Recording Available" badge if the call was recorded locally. Background sync pushes records to Supabase. Accessed from inside the app navigation — no longer a dashboard card.

❓ FAQs from the floor

“How do I update client details while I’m on a call?”

Keep the lead open in the app while you talk. Tap Update Lead, pick the outcome, add notes, set the follow-up (date & time), and hit submit before you hang up. The drawer remembers your last input until you save.

“Where do I write notes?”

Inside the Update Lead drawer. Use the notes box for call summary or next-step cues (it shows up in the Status & Details section immediately after saving).

“How do I fill the ER form?”

Tap the ER button → the ER drawer opens → select pathway, fill all required fields, attach the latest CV, and submit. Remember, country/language suggestions appear after you type.

“How do I book a meeting?”

Tap Meeting → the app checks ER completion and manager approval. Pick date/time, search consultants, choose a slot, and confirm. The slot turns green only after you tap it.

“Lead just called me—how do I find them fast?”

Use the Search Leads card on the dashboard. You can search by name, phone or email and jump straight into the lead without disrupting your sprint.

“What is the purpose of Call Me Now notifications?”

They are urgent inbound requests. Tap the notification, call the lead, and log the outcome. The event only closes after your call update is saved—opening the lead alone is not enough.

“Can I start on desktop and just update on mobile?”

We designed the app so you start your work here. Begin with the sprint button, let the app queue your leads, and log outcomes instantly. Updating later from memory brings errors and breaks the funnel.

“What if my app feels very slow?”

Performance is usually stable—slowdowns are almost always device-specific. Note your phone model, OS version and app version, try the same actions on a colleague’s device if possible, and email the details to your manager. Share when it feels slow (loading dashboard, opening drawers, etc.) so we can verify whether it’s a handset limitation or something we need to fix.

“Why aren’t my updates visible to my manager?”

Managers only see what the system records. If you answer from call logs, WhatsApp groups, or inbound calls but hold the update for later, the backend still shows inactivity. After every interaction—no matter where it started—open the lead in the app and log the outcome immediately. That keeps your work visible and stops you from sitting on a lead for 30+ minutes with nothing captured.

❓ Workflow FAQs — questions that come up mid-call

These are the practical questions every new joiner hits in their first week. Skim them once before your first sprint and you'll save a lot of "wait, where's that?" moments mid-call.

ER status & eligibility

How do I know if the ER is completed for a lead?

Open Lead Details. If ER is done, an "ER Done" chip appears in the top card and an "ER form" section shows submission date, country count, and CV file. On a sprint card, the ER status chip appears next to the lead name. In Get Meetings / Get Enrollments lists, every lead shown there has ER completed by definition.

The ER section says "submitted" but the lead's status hasn't moved. Why?

ER submission and lead status are separate. ER moves to the report-checker queue (web only); your lead status is whatever you logged in the Update Lead drawer. They sync independently — that's normal.

Where do I see who the ER checker / consultant assigned is?

ER assignment is web-only (ER Management page). The mobile app doesn't show the assignee — it shows the ER record once submitted. If you need the assignee, open the lead in the web LMS.

Meetings — booking & consultants

How do I know which consultants are available?

Open the Book Meeting drawer (Lead Details → ⋮ More → Meeting). Step 1 asks for pathway + date + time range. Step 2 shows the list of consultants who have free 45-min slots in your window, with their slot chips. Only consultants who match the pathway and have availability appear — the server filters server-side, so the list is always current.

What do I do if no one is available at the lead's requested time?

Tap Create Draft Booking Request at the bottom of Step 2. Add up to 3 time-range options where the lead is free (each ≥ 2 hours from now, within 4 days, between 9 AM and 9 PM). The system auto-assigns when any consultant opens a matching slot, and you'll get an email confirmation. See the Draft Booking tab in the playbook for the full rules.

Where do I see & edit my drafts?

On the web LMS: Meetings → Draft Requests tab. The mobile app does not yet show drafts; you can edit options or cancel from web.

Where does the meeting actually happen?

On Microsoft Teams. The booking confirmation email contains the Teams join link, and a calendar invite is sent to the lead's email automatically. The lead doesn't need a Microsoft account to join — they can use the "join in browser" option.

Do I have to add the meeting to my own calendar?

No. The booking sends a Teams calendar invite to you as well. It will appear in your Outlook / Teams calendar automatically. The mobile Dashboard also surfaces the meeting in the Upcoming Meetings carousel with urgency colour.

How do I cancel or reschedule a meeting?

From the web LMS Meetings page (the mobile app is read-only here). Cancel notifies the consultant and lead; for reschedule, cancel and re-book or create a draft.

How do I know if the meeting was done?

After the meeting, the consultant marks attendance on the web. Once that happens:

  • The Past meetings carousel on Dashboard removes the "Update needed" badge.
  • The lead's manager status updates (e.g. to Pitched or Pending Closure).
  • The Meetings tile in This Month's Performance increments.

If a meeting is still showing "Update needed" 24 hours after the scheduled time, ping the consultant — they likely forgot to mark attendance.

The lead no-showed. What do I log?

Open the lead → Update Lead → Outcome: Connected (or Not Connected if you didn't reach them after) → Result: FWP-Hot or FWP-Cold with a callback time. The consultant marks the meeting itself as no-show on the web; you don't need to touch the meeting record.

Payment links & enrollments

Does the lead receive the payment link automatically?

No. The app generates the link and you copy and share it yourself (usually on WhatsApp). This is deliberate — it forces you to reread the amount before sending, which prevents typos that have cost us refunds in the past.

How do I know the payment was made?

When the gateway confirms payment, you'll get a notification on the bell. On the lead, the Payment section updates with a green "Paid" badge and the payment ID. The Revenue tile on Dashboard refreshes too.

The lead says they paid but the app doesn't show it. What do I do?

Wait 5–10 minutes for the gateway webhook. If still missing, ask the lead for the screenshot + transaction ID, then escalate in #mobile-support with both. Don't create a duplicate payment link.

Where do I fill the enrollment form?

On the web LMS only (lms.primepathway.in → Enrollments). The mobile app doesn't have the enrollment form because it needs document uploads, installment plans, and manager/APM approval — all easier on a laptop. The mobile app shows you the enrollment status read-only once submitted.

Why is the enrollment still "pending" after I submitted?

It goes through manager → APM approval before it reflects in your Revenue tile. Expected turnaround is same-day. If it's been over 24 hours, ping your manager.

Sprint & lead behaviour

The sprint shows "No leads available." Now what?

It means your queue for that sprint type is empty. Try the other sprint (Unified ↔ Smart), or jump into Get Meetings / Get Enrollments if those have pending FWPs. Empty queues usually clear by 11 AM as new leads ingest.

I got the same lead twice in a row. Is this a bug?

It shouldn't happen — sprint APIs double-check live lead assignment. If it does, grab the timestamps and report in #mobile-support immediately. Backend will refresh the materialised view that drives the queue.

Where do I find my pending tasks for today?

Open 👑 My Leads → tap the Smart Filter chip → choose Today's Pipeline (leads to push today) or Today's FWPs (callbacks scheduled today). For the next day, use Tomorrow's FWPs.

Can I undo a wrong outcome I just submitted?

Not from inside the sprint. Use Search Leads to find the lead, open it, and submit a new Update Lead with the correct outcome — the latest update wins. If the wrong outcome moved the lead out of your pool, escalate to your manager to re-route.

Where do my call recordings go?

Recorded locally on the device (SQLite) and synced to Supabase in the background. View them under Call Logs on the device, or in the Call History section inside Lead Details once sync completes (usually a few minutes).

App / device gotchas

My notifications stopped arriving. What's wrong?

Usually battery optimisation kicked in. Re-exclude the app from battery saving (Settings → Apps → LMS Mobile → Battery → Unrestricted). Also check that notifications permission is still granted.

Auto-dial didn't fire. What now?

A snackbar will tell you auto-dial failed — tap the 📞 Call button manually. The rest of the flow is unchanged. If it happens often, share device + OS in #mobile-support; it's almost always a phone-specific call-intent permission.

My version is older than what's in #mobile-support. How do I update?

The Dashboard footer shows your installed version. To update, reinstall from lms.abroadninja.in/static/download.html — the new APK installs over the existing one and keeps your token.

Draft Booking (When no suitable meeting slot is available)

What is a Draft Booking?

Draft Booking is used when the lead’s preferred time is not available with any consultant. You can submit the lead’s available time ranges, and the system will auto-assign a consultant when a matching slot opens.

1 Simple flow (5–6 points)

  1. Search first: On Lead Details → click Book Meeting → choose pathway/date/time range → click Search Available Consultants.
  2. If slots are not suitable: (Either no slots, or lead wants a different time) click Create Draft Booking Request Instead.
  3. Fill lead’s availability: Add at least 1 option (date + start time + end time). You can add up to 2 more options as backup.
  4. Submit: Draft gets created as Pending Assignment.
  5. Auto-assignment: When any consultant opens a matching 45-min slot inside the range, the system assigns automatically and creates the meeting.
  6. Confirmation: You’ll see the meeting in Meetings, and you’ll also get an email confirmation.

2 Where do I see my drafts?

  • Go to Meetings page → open Draft Requests tab.
  • You can view your pending drafts, edit them (change options/pathway), or cancel them.

3 How will I know the meeting is confirmed?

  • Email notification: You’ll receive an email once the draft is assigned and the meeting is created.
  • Meetings page: The meeting will appear in your Meetings list (and the draft will no longer be pending).

4 Rules you must follow (to avoid rejection)

  • Minimum 2 hours ahead: Don't pick a time range earlier than 2 hours from now.
  • Max 4 days ahead: Draft options should be within the next 4 days.
  • 9 AM to 9 PM only: Keep time ranges within this window.

5 Common questions (FAQs)

Can I create multiple drafts for the same lead?
No. Only one active draft per lead is allowed until the existing draft is cancelled or expired.
What if the lead changes availability after creating a draft?
Open Meetings → Draft Requests tab → Edit the draft and update the time options.
What if the draft is not getting confirmed?
Add more slot options (more flexibility increases chances). If it’s urgent, escalate to your manager/admin to manually assign a consultant.
What happens if all requested times pass?
The draft is marked as expired. You can create a new draft with new time ranges.

Managers review recordings at Call Recording Review. Almost all first-call reviews scored average or bad — same gaps repeat:
